How to increase your work efficiency? Learn the 5 key principles!

Learn the 5 rules that will improve your work efficiency and transform your daily professional and personal responsibilities.

Last update:

Work efficiency is the key to success, not only at work.

Unfortunately, for a variety of reasons, we do not work efficiently and have trouble organizing our time and completing our duties on time. The greater the number of tasks, the greater the tendency to postpone them “for later” and take extra breaks during work. This causes us to feel dissatisfied and discouraged after some time. We lack motivation.  This increases problems related to low work efficiency and makes us shy away from new tasks, which prevents us from developing professionally.

So how do you make your work more efficient? It is not an easy task. However, it is enough to know and implement a few rules that improve the performance of daily activities, not only professional but also private. In the long run, working on brings many benefits and brings us closer to achieving our goals. Check how to achieve them!

Principle 1: Have a well-organized workplace

At the very beginning it is good to take care of a properly organized workplace that will be conducive to fulfilling duties. Basic work tools play a very important role. This is an efficient laptop or computer, comfortable chair and ergonomic desk. But that is not all. The work environment is also very important. Remember about good lighting. Man concentrates better with natural light, and if necessary, use a lamp with a good CRI, emitting light and a higher color temperature, which has a stimulating effect on the brain. The work area should be tidy. Objects that are unnecessary or not put in the right place often make us easily distracted. A well-organized workplace saves time. We do not have to spend time looking for necessary documents or office supplies.

Principle 2: Organize electronic files and documents

If you work with documentation also in electronic form, it is worth putting the server in order. In the article 5S in the IT environment – tips for selection on computer hardware you will learn how to do this.

Order in electronic documentation also saves time. Additionally, we do not get annoyed looking for several minutes for a particular document, which is needed “now”.

Principle 3: Complete tasks from start to finish

Many people break down tasks into steps and put off doing further parts of the tasks until later. This is a mistake. Such action increases the amount of work needed to complete a particular task or project. If we have the possibility of completing the whole task at one time then we should act in this way. If we stop working at one point, then at the next point we are forced to recall the previous stages. This means that the time which should be spent on the realization is spent on activities which do not bring us closer to the goal.

Principle 4. Make a task list

A task list is a very helpful tool. It includes planned tasks and responsibilities along with the time that should be allotted for their implementation. Such a plan helps to concentrate on work. At one time we should focus on a particular task. Multitasking, or doing several things at the same time, does not increase the effectiveness of work. It is a big load for the mind, then it is easy to make mistakes.

One task at a time is a rule worth following.

Principle 5. Complete tasks starting with the most difficult ones

It is a good practice to start tasks with the most difficult and complicated ones. “Worst” tasks to complete often sit in our minds and make it difficult for us to focus on other things. If we do the tasks that may be the most complicated first, then we feel satisfaction and an energy surge. As a result, subsequent, simpler tasks will be completed faster and the end result will be pride in getting the job done.
