What role does management play in quality management?

The role of management in quality management plays a key role in the functioning of the entire organization and its improvement process. Involved leadership is very important in both the development and implementation of quality management system principles in accordance with ISO 9001.

The growing awareness of company managers of the need to pay attention also to quality issues in companies makes more and more organizations decide to implement a quality management system. The effectiveness of implementations depends mainly on the human capital which participates in the process of change. The success of the entire undertaking, which is the implementation of a quality management system, depends on properly prepared, aware and committed personnel.

According to some studies, achieving success in quality management is only about 10% dependent on technical equipment, about 40% on technology and as much as 50% on people and management style.

The role of management in quality management

The role of leadership is to determine the methods through which an organization will achieve its goals. It is the leader’s job, for example, to increase the commitment of the organization’s members. A leader should have a certain vision that he or she can present to his or her co-workers in the right way. This will make them willing to make the best of their skills.

I have been teaching for many years and have found that when it comes to quality improvement, the most important thing is the example of the person in charge.

Philip Crosby

At the same time, a good leader understands that an organization’s greatest asset is the people who make it up, and is able to increase their engagement with more than just financial resources or punishments.

The leader must also remember that managing resources and the activities that lead to the achievement of objectives is a continuous process. This is known as the process approach to a quality management system. A person in a managerial position should also be characterized by a systemic approach to management. After all, the processes within an organization are all interrelated. This is a space where problems can easily arise. A good manager should identify, fix, and then prevent the consequences of these problems as soon as possible.

A leader is someone who prioritizes continuous improvement – of themselves and the people they work with, as well as the organization as a whole.

Qualities of a quality manager

The role of management in quality management is crucial for the functioning of the entire system. In order for the management to fulfil its role, they should know, understand and be able to use the 14 principles of Deming in practice. In addition to these principles, our experts have identified several more characteristics that should distinguish a quality management system leader. These are:

  • Knowledge of the concept and principles of quality management.
  • Personal involvement in the implementation and functioning of the quality management system.
  • Perceiving the success of the organization in the involvement of all its members in the improvement process.
  • Showing willingness for self-improvement, willingness to participate in trainings and delegating subordinates to specialized trainings.
  • Ability to use the social and cultural potential of the organization appropriately.
  • Good knowledge of the organization’s processes and their interrelationships.
  • Ability to overcome resistance to change in the quality area.
  • Willingness to delegate authority and responsibility for quality to lower levels of management.
  • Openness to suggestions and ideas from employees that have an impact on quality.

The above-mentioned roles and features, to a different extent and for different reasons, are sometimes also assigned to external consultants. However, it should be remembered that the consultant supports the implementation and development of the quality management system. The consultant is not a permanent part of the organization. Therefore, a leader is invaluable – a leader convinced of the pro-quality changes and genuinely committed to its implementation.
